Management Reports

A guide to accessing management reporting functionality

Access to Management Reports is permission based and if you cannot see this part of the system, please contact Saeker as we can assist you with this should your company allow you to view this area.

To access management reports click on reporting tab:

Click ‘ Management Reports’ button for the option to build a report:

Select the system module that you wish to report on using the drop-down ‘Module’:

Select or deselect any filters needed to provide more specific results.

Once the filters have been applied, you can now select 'Run report'.

Reports that can be built are:

  • Action - Full actions breakdown; 

  • Task - Compliance / Efficiency over time.

  • Risk Assessment - Reviews and full breakdown

  • Accident - Full accident breakdown

Below is a description of the filters available: 

  • Report Type = Full actions required;

  • ·Location = Location you want to report on. Please note you will only be able to run reports for the location you have permissions to see;

  • Created from & to = Use this to filter to set the date range which will recognise the date the action was created. If these fields are blank actions created from all dates will be shown;

  • Deadline from & to = Use this to filter the action based on deadline dates. Remember you may wish to select a ‘to ’date in the future. If these dates are blank all actions will be shown irrespective of their deadline. 

Action status = Use this to filter actions depending on what you want:

  • All actions;

  • Completed actions;

  • Overdue actions; 

  • Outstanding actions.

A combination of actions can be selected. 

Please note:

To see all outstanding actions select both ‘Outstanding’ and ‘Overdue’;

Outstanding actions are actions that have not yet been completed and are not overdue. 

Actions raised from = Use this to filter actions depending on where in the system they were raised. Stand-alone actions are those created through the yellow plus button:

The results

Graph 1: ‘Actions status across locations’ shows the number of actions, and whether the actions are overdue, outstanding or completed. 

Note: The results will vary depending on which filters have been selected.

Graph 2: ‘Actions raised from’ shows how the action was raised. If in report set up you have selected to view actions created through just one area of the system e.g. created through an audit, this graph will not be visible as it is designed to draw comparisons.

Table 

A table showing the actions from the graph is visible at the bottom of the page. Actions in the table can be sorted by any column by clicking on the title in the column heading.

Note: If you make changes to the filters once a report has been run, the results will not change until you click on ‘Run report’ again.

Once the filters have been applied click the:

Compliance / efficiency over time 

Below is a description of the filters available 

  • Location = the location you want the report to run for, please note you will only be able to run reports for the location you have permissions to see;

  • Due from & to = this will select all occurrences of every applicable task within your chosen date range;

  • Task types = allows you to choose all tasks, or filter by internal or external tasks.

Please note If dates are left blank all tasks, irrespective of date range will be shown.

The results

Table below shows the average compliance and efficiency percentages for the locations selected. 

The average compliance and average efficiency are the average across all locations selected. Compliance considers whether the task has ever been marked as complete. Efficiency considers whether the task was completed within the deadline date. If the task has never been marked as complete it affects both the compliance and efficiency.

Shows the average of compliance and efficiency the locations selected. 

Note: If a single location has been selected, the compliance across location graph will not be visible as it is designed to draw comparisons. 

Pie charts

Pie charts percentages values for:  

  • Completed = Tasks completed on time and any required supporting documentation uploaded;

  • Missing Document = Tasks which have been completed however required documentation has not yet been added;

  • Late = Tasks completed outside the grace period;

  • Missed = Task has not been signed off and is outside grace period. 

Clicking into the sections of the pie chart, or on the accompanying text, will  open a pop-up box giving task detail and a link into the specific tasks.
