Scope
To allow mobile & tablet app users to take and complete tasks offline.
This offline feature is designed for users who are completing tasks in areas with no, limited or unstable internet connectivity.
Prerequisites
To get started taking tasks offline, ensure the Saeker app is installed (version 1.0.141 or above), you are an assignee of the task you wish to complete, and you have an active internet connection ready to take tasks for offline use.
Taking Tasks Offline
When you select the 'tasks' tab within the main menu of your mobile app, you will be taken to the below screen (online tab). Enable the toggle indicated before choosing which tasks you'd like to take offline. Expand the 'All' and 'Overdue' tabs to view the tasks that are available for you to take offline.
A maximum of 5 tasks can be selected at any one time to take offline.
Once enabled, you're able to click the tasks you'd like to take offline using the buttons on the left-hand side. Once you're happy with your task selections, proceed and click 'Select for completing offline'.
Now choose the number of hours you want these tasks to be taken offline, making them accessible only to you during this period.
Once a time limit has been set, your tasks are ready to be completed locally on your device.
Completing Offline Tasks
Tasks taken offline are visible in the ‘Offline’ tab shown below.
Note: While you have tasks taken offline, no one else will be able to access, edit or complete them.
Note: If the tasks are not completed within the selected time window, they will still be able to be completed locally by you but are available for other users to complete, which may lead to potential conflicts.
Click the 'Complete Locally' button to complete the task.
Complete the task as normal raising actions, adding notes and media as required.
Syncing Tasks After Completion
Once the tasks have been completed, they will need to be synced back to the system when internet access is available.
When your connection is available, you can sync your tasks by clicking either of these two sync icons:
Once tasks are synced
Once you’ve synced your task(s) successfully, they will be visible within the Saeker system.
Note: Once sync'd successfully, your task total will show as zero within the offline tab.
Handling conflicts
When the offline period has expired, tasks become available for other users to complete. In the instance, a task has been completed locally and sync'd outside the offline task period and another user has completed this prior to the task being synced. The system prioritises the initial submission as the completed entry for the task. To prevent the offline completion being lost, the system detects this conflict and puts a new tab within the task on the web app.
From this tab, the offline answers can be downloaded in PDF format. It is advised this PDF is added as documentation to the completed entry. This can be done via the History tab → eye icon → 'Add documents'.
As stated in the alert above, you have up to 2 days to download the conflicted documentation so you can upload it to the task's History page.
Task Ownership
If the task you are attempting to complete has already been taken offline, you can view its status in the ‘All’ tab of the mobile app. Select the ‘i’ icon to see which user has taken it offline.
If you check the task in the web application, an informative message will appear on the 'Task Details' page indicating that the task has been taken offline by another user.
